Position Overview

Position Summary
Under limited supervision, train and supervise tracking, filing and imaging of all documents necessary for the aid awarding process. 

Requirements

Duties and Responsibilities: 

  • Oversee weekly mailing of award notification and missing information letters to students
  • Oversee logging in, sorting, organizing, electronic tracking and filing of all documents necessary for the aid awarding process
  • Oversee deposit and reconciliation of incoming scholarship checks to university accounts in conjunction with the scholarship specialist
  • Monitor level of accuracy and speed with which information is entered into the database 
  • Maintain file storage, imaging, and retention 
  • Supervise file destruction 
  • Prepare routine mailings 
  • Act as back up to reception function 
  • Regular and predictable attendance required
  • Perform other related duties as assigned 
 
Minimum Job Requirements:
A high school diploma or an equivalent certificate and a minimum of one-year experience directly related to the duties specified is required 
 
Knowledge, Skills and Abilities:
  • Knowledge in the use of standard office equipment including typewriter, calculator, computer hardware and software. 
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community 
  • Ability to work independently, exercise creativity, be attentive to detail, and maintain a positive attitude 
  • Ability to manage multiple and simultaneous responsibilities and to prioritize scheduling of work 

Working Conditions

Physical Demand and Working Conditions:

  • Work is sedentary in nature that at times requires exerting up to 25 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

Paid Time Off

During the first year of service, full time non-exempt (hourly) employees accrue 7  hours of annual leave and 7 hours of medical leave per month. During the second year of service, full time non-exempt employees accrue 10 hours of annual leave and 10 hours of medical leave per month. During the third and subsequent years of service, full time non-exempt employees accrue 14.66 hours of annual leave and 14 hours of medical leave per month.

Employees must work for the University for three months before they are eligible to use annual leave. Leave accruals will be pro-rated for part time employees. Temporary employees do not accrue leave.


Employee Educational Assistance Plan
Eastern New Mexico University offers a tuition waiver for regular employees and retirees. This program waives the tuition for one course (up to four credit hours) per semester. Employees' spouses may be eligible to use the tuition waiver during any semester that it is not being used by the employee.
