Position Summary & Duties Responsible

POSITION SUMMARY

Administrative Support Assistant II will play a vital role in retrieval, transportation and delivery of supplies and material for the department. Provide daily support for record related activities, tasks, and staff. Prepare mail for delivery and retrieve mail daily. Will load, unload, retrieve, transport, and deliver needed supplies to and from various locations. Assist in preparation work for presentations and trainings to include the creation of binders or material. Will work with contracted vendors, local government, or State agencies on assigned tasks.

POSITION SUMMARY FUNCTIONAL AREA: SHERIFF'S OFFICE

Administrative Support Assistant II will process, enter, and cancel warrants. Provide administrative and office support for assigned department or division. Compose and prepare documents, perform skilled word processing, data entry, and report preparation. Provide information and assistance to the public and County staff related to programs, projects, and services. Research and provide warrant and report information to civilians, law enforcement and other community-based agencies.

DUTIES AND RESPONSIBILITIES

  1. Performs a variety of increasingly complex administrative and office support duties for assigned department or division, including performing skilled word processing, data entry and organization, and report preparation.
  2. Independently composes and prepares a variety of documents, including forms, memos, and correspondence for department/division staff and management.
  3. Creates, completes, and processes various forms, applications, requisitions, and related documents; verifies and reviews documents for completeness and conformance with established policies and procedures.
  4. Assist in activities such as inventories of off-site storage, oversight for shipments of material or public records being pick-up or delivered at various locations.
  5. Responds to requests for information and questions by explaining requirements, policies, and procedures or referring the customer to other programs, departments, divisions, agencies, and community groups, as appropriate.
  6. Maintains accurate and detailed databases, files, and records, verifies accuracy of information, researches discrepancies, and records information; ensures compliance with established records retention schedules.
  7. Monitors and orders office and other related supplies; assists in preparing, processing, and tracking purchase requisitions for services and materials; receives vendor invoices; prepares requests for payment for management approval.
  8. Schedules and attends meetings as a department/division representative to relay or obtain relevant information regarding departmental/divisional activities; takes notes at meetings.
  9. Performs accounting/bookkeeping support work such as verifying or computing financial data, preparing and processing purchase requisitions and invoices, processing accounts payable/receivable, monitoring budget expenditures, preparing account and budget reports, maintaining and balancing accounts, and processing and reconciling time records for payroll.
  10. Incumbent(s) in this classification may handle sensitive and/or confidential records, plans, documents or decisions that require maintaining confidentiality of sensitive information. ?

Minimum Qualifications

  1. High School Diploma or GED, and one (1) year of work experience in office administration, clerical, or office support, law enforcement, or related field.

ADDITIONAL REQUIREMENTS

The offer of this Bernalillo County position requires compliance with the following:

  1. Employee must successfully complete the post-offer employment medical examination and background investigation.
  2. Employee must comply with the safety guidelines of the County.
  3. Employee must complete required FEMA training(s) as assigned to position.

WORKING CONDITIONS

  1. Duties are performed in a temperature-controlled environment.
  2. Duties are performed on an even surface, which may be carpeted or tile. Working surface is typically dry.
  3. Worker often works alone both with or without directions from supervisor.

EQUIPMENT, TOOLS AND MATERIALS

  1. Materials and products handled in the course of performing essential duties include files, forms, reports, various other paperwork, and a wide variety of basic office supplies.
